Case Study- Enterprise-Grade AV Conference Room Design and Implementation for Multi-Size Meeting Spaces
Project Overview
The project is a comprehensive audio-visual solution designed to transform collaboration spaces into modern, connected environments by integrating advanced display systems,
professional audio, and intuitive control, the project ensures that every meeting — whether in a 50-seat hall or an executive director’s room — delivers a seamless and engaging
experience.
Industry:
Public transport industry.
Location:
Chennai
Project Duration:
45 Days.
Customer Requirement:
The customer requires a scalable, future-ready AV ecosystem that delivers consistent high-quality audio and video across multiple meeting spaces — from large 50-seat halls to
executive director rooms.
Challenges:
The overall challenges in the project stem from the complexity of bringing together multi-OEM hardware (Samsung LED walls, Cisco codecs, Extron switchers, Shure microphones, Aruba networking, Logitech cameras, etc.), ensuring seamless signal routing and scaling across HDMI/DTP paths, and managing audio calibration for ceiling and table microphone arrays with distributed speakers. Added to this are the demands of control system programming to unify RS-232, IR, IP, and contact closure protocols, the need for network segmentation and USB extension reliability With multiple room sizes (50-pax, 25-seater, 15-pax, 11-seater, 10-seater, 6-seater, and a Director Room), the project faces challenges in maintaining consistent performance, redundancy, and documentation accuracy across all configurations, making integration, calibration, and control standardization the most critical hurdles.
Solution Delivered:
The solution provides crystal-clear visuals through Samsung LED walls and large displays, immersive conferencing with PTZ and Logitech cameras, and precise audio capture using Shure MXA310 table and MXA920 ceiling microphones paired with distributed ceiling speakers and DSP processing for clarity. Control must be intuitive and user-friendly, with one-touch Extron controllers, wireless sharing via ShareLink Pro and iPad integration, and enterprise-grade networking through Aruba switches and APs. The system should emphasize ease of use, reliability, professional aesthetics, and future-proof design with 4K video switching, Dante audio, and IP-based control, ensuring a seamless collaboration experience across all room types. Imagine a space where 50 participants, or sometimes just 6 executives in a director’s room, need to communicate seamlessly. Each room had its own personality — from large auditoriums with Samsung LED walls to intimate boardrooms with 65-inch displays. The challenge was to unify them under one AV architecture, ensuring consistency without compromising individuality.
The Visual Journey
The heart of collaboration is seeing and being seen.
•Samsung LED Displays became the canvas, ranging from 178″ walls to compact 98″ and 65″ screens.
•Cisco Codec and Logitech Cameras brought faces into focus, bridging distances with clarity.
•Behind the scenes, Extron DXP 4K Switchers and DTP HDMI 4K
Transmitters/Receivers worked quietly, ensuring every pixel reached its destination without fail.
The Soundscape
Voices matter. They carry ideas, emotions, and decisions.
•Shure MXA310 table microphones and MXA920W-S ceiling arrays captured conversations with precision.
•Ceiling Speakers and DM6C Amplifiers transformed rooms into balanced Soundscapes.
At the core, the DMP 128 Plus DSP orchestrated audio, eliminating echoes and harmonizing voices.
The Control Story
Technology is powerful, but it must feel effortless.
•Extron IPCP PRO 250xi became the invisible conductor, simplifying control across rooms.
•Aruba Instant On 1930 Switch ensured every device spoke the same language.
•ShareLink Pro 500 empowered participants to share ideas wirelessly, whether from laptops or iPads. When the first meeting began, the technology faded into the background — as it should.
What remained was clarity, connection, and confidence. Whether it was a 50-seat collaborative session or a director’s private discussion, the rooms delivered the same promise:
your voice will be heard, your ideas will be seen. It’s not just an AV project. It’s a story of engineering precision meeting human need. By weaving together brands like Samsung, Shure, Cisco, Extron, Aruba, and Logitech, we created spaces that are future-ready, scalable, and inspiring. The integrated AV solution delivers enhanced collaboration, seamless communication, and future-ready infrastructure across all meeting spaces. With Samsung LED walls and auxiliary displays ensuring crystal-clear visuals, paired with Shure MXA microphone arrays and distributed ceiling speakers for intelligible audio, participants experience consistent quality whether in large 50-pax halls or compact director rooms. Cisco codecs and Logitech PTZ cameras enable hybrid conferencing with reliable video capture, while Extron switchers and Aruba networking provide flexible content sharing and secure connectivity. The result is a system that reduces technical friction, improves meeting productivity, and supports standardized user experiences across all rooms. The impact for the client is clear: greater efficiency, stronger stakeholder engagement, and a scalable AV platform that positions the facility as a modern, compliant, and collaboration-driven environment.
The AV system directly accelerates the decision-making process by enabling clear, real-time communication and seamless content sharing across all meeting spaces. With LED walls and auxiliary displays ensuring high-impact visuals, microphone arrays and distributed speakers providing intelligible audio, and VC codecs supporting hybrid conferencing, participants can engage without technical delays or misunderstandings. The integration of switchers, networking, and PTZ cameras ensures that presentations, discussions, and remote inputs are delivered instantly and reliably. This reduces meeting friction, eliminates repeated clarifications, and allows stakeholders to reach consensus faster. The impact is a streamlined workflow where decisions are made with confidence and speed, strengthening organizational efficiency and project momentum.
The AV solution is engineered for maximum reliability and minimal downtime, ensuring that meetings and presentations run smoothly without technical interruptions.
